FOI 67-22: Printing arrangements within the Assembly Commission

Freedom of Information Act 2000 (“FOIA”)

I am writing to confirm that the Northern Ireland Assembly Commission (Assembly Commission) has processed your request dated 1 December 2022 in line with the Freedom of Information Act 2000. In your request, you asked:

“I would be grateful if you would provide details of your current contract covering reprographics/print arrangements under the Freedom of Information Act as follows

1. Number of MFDs (Multi-functional devices) & photocopiers at Northern Ireland Assembly.

There are a total of fifty multi-functional devices and photocopiers at the Assembly Commission.

 

2. Name of incumbent.

There is no managed print service in place. The devices used by the Assembly Commission are manufactured by HP and Cannon.

 

3. Start/end date of contract (if expired, WHEN do you expect to revisit the marketplace).

The Assembly Commission expects to revisit the marketplace for a Managed Print Service in the first quarter of 2023.

 

4. Details of any extension options.

This is not applicable to the Assembly Commission.

 

5. What framework / Route to market used?

The printers and printer support contract were originally procured through open competition by the Assembly Commission.

 

6. Do you share this contract/use the same arrangement with another organisation? If yes, please name who

The Assembly Commission does not share this contract with any other organisation.

 

7. Number of regular/desktop printers (in addition to above)

There are two hundred regular/desktop printers used by the Assembly Commission.

 

8. Is there a support contract on above, if yes please state start/end date?

A support contract was introduced in February 2020 and expires in February 2023.

 

9. Do you have a Print Room?

The Assembly Commission does not have a print room.

 

10. If yes, name of supplier, number of devices and start/end date of contract, also details of any extension options

This is not applicable to the Assembly Commission.

 

11. Total annual print/copy volumes including, if applicable your Print Room, for (a) mono (b) colour

This information is not collected in the format requested. However, it is estimated that the Assembly Commission produces 500,000 pages per annum.

 

12. What Print software do you run?

The Assembly Commission utilises native HP and Canon drivers.

 

13. Your total annual spend on print?

The Assembly Commission does not hold the information in the format that you have requested.  

 

14. Name of person responsible for the running of MFDs and, if applicable, your Print Room”

The Interim Head of the Information Systems Office is Trevor Steenson.

The Assembly Commission may publish details of your FOI request and its official response within the organisational disclosure log. The request will be completely anonymised and you will not be identified in any way. This is to meet the requirements as laid out by in the agreed publication scheme with the Information Commissioners’ Office.
